Creating a Bill

We will cover the steps in creating an Bill. In logiware terms, a Bill is an invoice received from a Vendor for payment of services to that Vendor.

Setup

Before you can create an Bill, you must first create a Booking or Edit an existing one. You will also need to add costs to the Booking.

Once in a Booking, Go to Costs section:

How Logiware Bills Work

  • ProForma Bills - The first step is to create a ProForma Bill. It is an in-process bill.
  • Bills - The second step in the process is to create the actual Bill and send the Bill to the accounting system electronically using an integration. Once sent to accounting, the Bill is official.

Selecting Costs to add to a Bill

  • Select the costs you want to add to a Bill and click on the Add to Bill button.

Creating a Bill

  • You have 2 options when adding costs to an Bill:
    • Add to an existing Bill - Select a Bill that is already in the booking and add the costs to that bill.
    • Create a new Bill - Create a new bill for the selected costs.

Adding costs to an existing Bill

Note

When adding charges to an existing Bill, they can only be added to Proforma Bills. These are Bills that are in-process mode and have not been sent to the accounting system.

  • To add the selected costs to an existing Bill, click on the Select Existing Bill field and select from the list of Bill's already in the Booking.

Creating a new Bill

  • To create a new Bill, enter/select the Vendor, Vendor Invoice Number, Vendor Invoice Date and press the Create New and Continue button.

  • Currency - The currency for the bill will default to the currency from the costs selected. However, you can also change the currency. The costs will be converted to the currency selected for the invoice using the current exchange rate.

  • Additional Comments - A comment can be added concerning the bill for future reference to others.

Note

Logiware processes bills in two stages:

  • First, a bill is created.
  • Second, the bill is Sent to Accounting.
