Sending Emails from a Quote or Booking

This article explains how to send emails from a Quote or Booking.
Note
- Active Contacts will be available to print on documents and also to send emails and messages to.
- Inactive Contacts will not be available to print on documents or send emails/messages to.
Navigation
To add a Communication, you need to first open or create a quote or booking. From inside the quote or booking screen, scroll down until you see the Communications section:
Steps
Adding a Communication
- Click on the Send Message button.
- Select the New Email option.
- Click in the To field and a list of all the contacts for all of the Parties in the Quote or Booking will be displayed.
- You can select multiple contacts
- You can also enter a new email address. Press the Enter key after you type the email to save it in the field.
- Subject - Free form field to enter whatever subject you want for the email.
- Body (Compose Email) - Type the body of the email in this text box area.
- Choose from Template - Click on this link at the bottom of the email page to display the available email templates:
- Click on the Template name to load it into the Email subject and body.
The template will load any text and also variable data from the quote or booking into the Email.
Adding Attachments
- To attach a document to the Email, click on the Paperclip icon:
- You attach a document from the list of documents in the quote or booking, or upload a new attachment from your computer:
- The Choose from Documents option, will list all of the documents in the quote or booking and allow you to choose one or more to include in the email:
Sending the Email
- Click the Send button to send the email.
Communication History
- Each communication message sent will be logged in the Communication section as shown below:
- A copy of the email will also be sent to the user's email box.
- If the recipient of the email replies back, then the reply will go to the user's email box and also a copy will be stored in the Communication section. This allows other users to have visibility to the communication correspondence.
