Adding, Updating and Deleting Contacts for a Party

This article explains how to add, update and delete Contacts for a Party Address.

A Party can have multiple addresses and each address can have multiple Contacts

Navigation

  • Click on Application Selector > Control Panel > Parties

  • Then click on Create Party or Edit a Party

Note

You need to be in a Party record before you can add Contacts to an address. You can either create a new party or edit an existing party. Both of these can be done from the Party Maintenance screen as circled in red above.

  • In the Address section, locate the Contacts section.

Steps

Note

When creating a Party, the first Contact (Contact #1) will automatically appear.

To Update Contact # 1

  • Enter the Contact Name and details
    • First Name
    • Last Name
    • Phone
    • Email
    • Fax
    • Position - Optional field to describe the Contact's title or position in the company.
    • Shipment Type - This identifies the types of shipments that this contact works with (FCL, LCL, Air, etc..). If the Party is included in a Quote or Booking, then this contact will automatically be selected for these types of shipments.
    • Shipment Direction - This identifies the direction of shipments that this contact works with (Export, Import, Domestic, etc..). If the Party is included in a Quote or Booking, then this contact will automatically be selected for shipments with these directions.
    • Document Type - This identifies the types of documents this contact should receive. If this Party is the Client in a Quote or Booking, then this contact will default to receive these types of documents.
    • Client - This field represents the Party's Client/Customer. This is used to identify that this contact should be selected if this Party's Client is input into a Quote or Booking as the shipments Client.

Note

There are two different Clients that can be used in a Quote ot Booking:

  • Client - this is the Client for the shipment. As a user it represents your Client. It will be the first Party in the Party section.
  • Client's Customer - This can be found under the Additional Party section. It represent the above Client's Customer.

Your Client may have different contacts within their organization that represent certain large Customers of theirs. They may want you to communicate with different people for these Client Customers.


To Add additional Contacts

  • Click on the Add Contact button.

  • Enter the Contact Name and details
    • First Name
    • Last Name
    • Phone
    • Email
    • Fax
    • Position - Optional field to describe the Contact's title or position in the company.

To delete a Contact

  • Click on the Delete Contact button.

You cannot delete the first Contact, only additional contacts (2,3,4, etc.)
