Using Automation to create Tasks

You will learn how to create tasks using Automation in Logiware.
What is a Task?
A Task is a piece of work or activity in the shipment process. It is essentially a To Do List action item. It can be assigned to one or more persons and can have a due date, priority, and status.
Tip
There are 2 ways to create Tasks:
- Automation rules can be setup to automatically create Tasks based on the Workflow status that a booking is in. For example, when the workflow reaches a step to "File AES", then an automation rule can automatically create a task to "File AES" and assign it to a user or group of users, and assign the due date based on the cutoff date in the booking. (See article: Using Automation to create Tasks for more details).
- You can also manually create a Task. Sometimes you may need to create a task that is outside of the normal workflow for a shipment. In these cases, you can manually add a task and assign it to a person or group and designate the due date.

Automation is a no-code rule builder that enables users (with granted permissions), to build if-this-then-that-rules based on events in Logiware.
What kind of use-cases does Automation solve?
Automation is completely customizable. This means you can set up rules to suit your needs whatever they are. Some common use cases are:
- When a quote or booking is set to a certain workflow status, then automatically send an email to a specified group of people.

Steps
Creating a New Automation
- To create a new automation, click the New Automation button in the upper right corner of the page.
- The Automations > New Automation panel will appear:
- Enter Automation Name - a name for the automation.
- EnterAutomation Description -a brief description to explain objective and intended purpose of this automation.
- Press the Create button.
- The Automations > Blocks panel will appear
Selecting and Entering the Triggering Event
- Click on the Booking Trigger box and with the left mouse button held-down, drag it onto the "+" Icon on the work canvas:
- Select the Trigger Event. Choices include the below options:
- Depending on the selection, you will be prompted to enter additional information.
- For example, if you select Workflow change, then you will be prompted to enter the workflow and the status that will trigger the automation.
- If you select Field Change, you will be prompted to select the field(s) that will trigger the automation.
- Click the Save button once you have entered the Trigger event..
Adding a Task to the Automation
- To create a Task in the Automation, click on the + icon after the Trigger Block as shown below:
The Panel will change from the Trigger selection to the Action Selection. Click on the Task option.
Creating the Task
- The Task panel will open
- Enter the Task Name. This is a short description, a few words to name what the task is. For example, Make booking with carrier, Enter shipping instructions, File AES, invoice customer, etc..
- Select the Status of the Task:
- To Do
- In Progress
- Closed
- Select the Assignees for the Task. You can select multiple users as assignees. All of the assignees will see the task in their To Do list, and if any of the assignees close the task, then it will disappear from the To Do list for all of the assignees.
- Select or enter the Due Date for the Task. You can enter the date and time or select it from the Calendar icon. The time is optional.
- Select the Priority of the Task:
- Urgent
- High
- Medium
- Low
- Enter Tags for the task. Tags can be added to a Task to help label, categorize, organize, and identify tasks. Tags can be used to filter Tasks on the Task screen. You can enter multiple Tags on a Task.
- Enter a Description for the Task. This is intended to serve as detailed instructions or checklist to the user in how to accomplish the task. You can use the icons below the description field to format the text with bold, italic, underline, and bullet options.
- Save the Task. Once you have entered the Task fields, then press the save button to save the Task.
- Close Drawer. Press the close drawer button to return to the booking screen.
